This role will play a vital role in making Onto such a great place to work. Always striving to create a positive and professional atmosphere across all of our offices, both for our colleagues and guests.

As Office Manager you will be responsible for the workspace experience ensuring excellent service to all our guests and employees and in close collaboration with our CFO and VP of People.

In addition to your role as Office Manager you will take on responsibility as Executive Assistant to the CEO as well as seven other Senior Managers (SMT) with various administrative tasks including travel bookings, reporting of expenses, arranging and booking conferences and events as well as creating material and presentations for internal and external meetings.


What you will do

What will you do as an Office Manager:

  • You will be the go-to person for ALL things and also happen to know everyone’s name
  • Create a positive workplace with your personality and make sure that (y)our office feels like a great place to work at
  • Manage all internal office affairs, making sure things run smoothly day to day and act as first point of contact, ensure guests and employees receive a high level of service
  • Handle purchases, procurement and stock levels for the office
  • Manage office budget
  • Liaise and negotiate with landlord & suppliers
  • Maintain the condition of the office and arrange for necessary repairs
  • Manage internal & local events
  • Manage office maintenance or issues
  • Liaise with facilities management for any restructuring projects
  • Manage the use of meeting rooms
  • Maintain health and safety policies
  • Be a fire safety officer (training will be provided)
  • Be a first aider (training will be provided)
  • Work with building management to maintain security processes

What you will do as Executive Assistant:

  • Ensuring the SMT can focus on their daily hectic work by ensuring smooth support on everything around them
  • Coordinate calendars and meetings
  • Create material and presentations for internal and external meetings
  • Coordinate point-to-point travel needs (car, flight, hotel, etc.)
  • Assist the Management team with administrative tasks
  • Ensuring we are making all relevant submissions for the gift and hospitality register
  • Reporting of travel expenses
